HOST FIELD GUIDE · UNITED STATES

Ready the room. Test the rig. Keep singers moving.

A useful karaoke night depends on a few handoffs: venue to setup, song library to speakers, and singer request to next turn. Use this checklist before doors open.

01

BEFORE EVENT NIGHT

Coordinate with the venue

  • Confirm the exact load-in window, parking entrance, on-site contact, and when you can sound-check.
  • Agree where your table and speakers go, which outlets are available, and what sound gear the venue supplies.
  • Ask about sound limits, age rules, breaks, announcements, and the firm end time before you arrive.
02

PACK AND TEST

Make playback dependable

  • Bring your playback device, the music library you rely on, audio cables and adapters, and a power strip or extension lead.
  • Pack a main microphone plus a backup, spare batteries or a spare cable, and a simple offline filler playlist.
  • Keep a second copy of essential files on a separate drive or device; use equipment you already know.
03

AT THE VENUE

Run a full sound check

  • Play one vocal track and one instrumental track through the full setup; confirm both speakers, the microphone, and the lyric display work.
  • Set music and mic levels from the room, then keep a little headroom so you can adjust without chasing distortion.
  • Check that your backup mic, spare cable, and saved filler playlist are ready before singers arrive.
04

SAY THE RULES BEFORE SIGN-UPS

Keep requests and rotation clear

Choose one sign-up place and tell singers what to include: their name, song title, and artist. Keep the list where you can see it while hosting.

A simple starting policy

Take one song per singer at a time, work through requests in sign-up order, then move each singer to the back after their turn. If a track is unavailable, tell the singer promptly and invite another choice.

Explain how you will handle unavailable songs and schedule changes before the first request. During the night, mark completed turns and announce who is up next.
